ReportFalcon checks every client once a day and emails your team when something needs attention. You hear about a broken connection or a sudden traffic dip before your client does, and long before the next monthly report.
What triggers an alert
The daily check looks for three kinds of problems:
- A source can't be read anymore. Search Console or Google Analytics data can't be loaded for a client. This usually means someone removed your reporting email from their Google account, or Google returned an error. The alert includes Google's message.
- Clicks or sessions fell sharply. Organic clicks (Search Console) or website sessions (GA4) are down 30% or more in the last 7 days compared with the 7 days before. This only counts when the previous week had at least 50 clicks or sessions, because small numbers swing a lot.
- The site audit found new errors. A recent site audit found errors that weren't there in the audit before, such as broken pages. The alert shows how many and the health score. See Run a site audit.
Search Console needs a few days to finish its data, so the clicks check uses weeks ending 3 days ago. The sessions check uses weeks ending yesterday. Demo clients never trigger alerts.
What the email looks like
All new problems from one day go out together as one email per agency. The subject names the client ("Harbor Dental Care needs attention") or, when there are several, how many clients need attention. Inside, each client is listed with its problems and a link to your dashboard.
Each problem is emailed once. You won't get the same alert every day while it lasts. If a problem goes away and later comes back, you'll hear about it again.
Who gets the alerts
Every member of your team gets the alert email, owners and members alike, as long as:
- they have confirmed their email address, and
- they haven't switched alert emails off for themselves.
Alerts are on by default for everyone. Each person decides for themselves; switching it off doesn't affect anyone else. See Invite your team to add colleagues.
Alerts on the dashboard
You don't need the email to spot problems. On the Clients dashboard, a client with a problem shows it on their card, and the Needs attention chip filters the list down to those clients. See The Clients dashboard.
Switch alert emails off (or back on)
- Open Your account. Click your name at the bottom of the sidebar. Every alert email also has a link to this page at the bottom.
- Find Alert emails. It's the section described as "One email a day, only when something needs attention."
- Click the switch. Turn Email me about client problems off or on. It saves straight away, and a message confirms the change.
When you get an alert
- A source can't be read: check that the reporting email is still a user on the client's property. See Fix connection problems.
- Traffic fell: open the client's report and compare periods to see which pages and keywords moved.
- New audit errors: open the client's site audit to see what's new and what to fix.
