Numbers tell clients what happened. Your notes tell them why. Each report has three places for your own words: a notes box, a list of work completed, and notes pinned to dates on the charts.
Write notes and next steps
Under the executive summary is a box called Notes & next steps from followed by your agency name.
- Pick the dates first. Notes belong to the client and the exact date range on screen, so set the report to the period you're writing about.
- Type your commentary. For example what moved the numbers, and the priorities for next month.
- Watch the status. It changes from Saving… to Saved. There's no save button.
Change the dates and the box shows the notes for those dates (or an empty box). Clients see your notes under the summary; when the box is empty, they don't see it at all. The notes sit inside the Executive summary section, so hiding that section hides them too.
List the work completed
The Work completed this period section shows clients what your team did, as a checklist.
- Find the section. It's the third section by default.
- Add one item per line. Type in the box labelled What your team did for the client in this period, for example "Published 2 new service pages". The list above the box updates as you type.
- Let it save. Like the notes, it saves automatically for the date range on screen.
The list holds up to 30 items. When it's empty, the section is left out for clients, so you never send an empty heading.
Add a note to the charts
Chart notes are dated markers that explain a change, like a site launch or a Google update.
- Click Add a note to the charts. The link is under the Search visibility trend chart, or under the Website traffic chart when the client only has GA4.
- Pick the Date. It starts on the last day of the report, and you can choose any day inside the report's dates.
- Write the Note. Keep it short: up to 120 characters, such as "New homepage launched".
- Choose who sees it. Show it to the client is ticked by default. Untick it for a note only your team should see.
- Click Add note. The report reloads with the marker in place.
How chart notes look
Each note gets a numbered marker with a dashed line on the date charts: Search visibility trend, Pages with search visibility, Website traffic and Sessions by channel. Under the main chart, a list shows each number with its date and text.
A note belongs to its day, not to one report. It appears on every report whose dates include that day, including reports you share later.
Notes for your team only are marked (only your team) in your view. They never reach the client's live link, shared reports or PDFs, and the PDF numbers the client's notes 1, 2, 3 without gaps. To remove a note, click the X next to it in the list and confirm.
Notes and work items belong to the dates you wrote them for. Write them with the report set to the period you'll share, such as Last month, and they're frozen into that shared report. See Share a report.
Sharing a report freezes the notes and work list as they are at that moment. Later edits don't change a report you already shared. See Share a report.
