Getting started

How to add a client

Each client in ReportFalcon gets its own branded report. Adding one takes a minute: name the client, pick their Google data, and save. You can add a client before they've given you access to their data and connect it later.

Add a client

  1. Open the form. On the Clients dashboard, click Add client.
  2. Fill in the client details. Enter the Client name (the only required field) and their Website. Both appear on the report cover.
  3. Add a logo, if you like. Paste a link to the client's logo image under Logo URL. It's optional: without one, the report shows the client's name.
  4. Leave brand terms empty for now. We fill them in for you when you save (see below).
  5. Pick their data sources. Under Data sources, choose the client's Search Console property and GA4 property. Either one is enough for a report.
  6. Save. Click Add client in the panel on the right. Their report opens straight away.

Brand terms

Brand terms are words people use when they search for the client by name, such as "acme" or "acme plumbing". The report uses them to split branded searches from non-branded ones, and to filter the top keywords by All, Non-branded and Branded.

If you leave the box empty, ReportFalcon fills it in when you save. It uses the client's name, their website and the spellings people really type in Google, including common misspellings found in the client's Search Console searches.

To see suggestions before saving, click Suggest. New terms are added to the box. Remove any that aren't really the brand, then save. Separate terms with commas.

Data sources

ReportFalcon reads Search Console and GA4 through your agency's reporting email. The form shows it at the top of the Data sources card, along with the two steps to connect:

  1. Your client adds the reporting email as a user in Search Console (Restricted) and GA4 (Viewer).
  2. You click Reload properties and pick their properties from the lists.

Access via is already set to your reporting email. A line under it says how many properties were found. If the client hasn't added the email yet, leave the properties on Not connected and save; you can connect them later. The full steps for your client are in Connect Search Console and GA4.

More settings on the same form

The form has a few optional cards you can set now or later:

  • Goals: monthly targets the report tracks. See Set goals.
  • Site audit: how many pages to crawl, monthly audits and JavaScript rendering.
  • Report settings: the Positive-only report switch, the Report theme and, once you have templates, Apply a template.

Try the demo client first

On the dashboard, Add demo client creates "Clearwater Counseling (Demo)": a fictional practice with generated sample data in every report section. It has nothing to connect and isn't counted in your client total. It's a safe place to try sharing, notes, themes and PDFs before you show a real client anything.

Edit or delete a client

  1. Open the client's settings. Click the pencil icon on the client's card on the dashboard. The form is the same as when you added them.
  2. Make your changes. Click Save changes. You go back to the client's report, with fresh data.
  3. Delete, if you need to. Click Delete client on the form, or the bin icon on the dashboard card, and confirm.
Good to know

Deleting a client also deletes their notes and every report you shared with them, so those links stop working. This can't be undone.
